Make Your Lettter of Inquiry a Winner

Many foundations prefer grant-seeking nonprofits to submit a Letter of Inquiry (LOI), before sending a complete proposal.

The LOI allows the foundation to screen potential candidates for funding to ensure that it fits with the foundation’s mission. The LOI helps the nonprofit organization  get an invitation from the foundation to submit a complete proposal.

Tips for writing a good LOI are:

  • Follow published foundation guidelines for an LOI.
  • Type  “Letter of Inquiry”  at the top of your letter. This helps make it plain that you are submitting an LOI, and LOIs receive a very quick initial screening in an effort to weed out irrelevant mail.
  • A typical LOI is three pages, plus a budget, and includes the following:

A Brief Title –  the title should catch the attention of the reader and draw him into continuing.

A one- or two-sentence summary of your project –  that is concise, and compelling.

The summary should:

  • Answer the question, “What are we doing?
  • Receive your utmost attention. Put the most effort into writing the first sentence of the summary. Write and rewrite it.
  • Strike a tone suitable to the foundation’s interests.
  • Don’t use “unique,” “cutting edge,” or “raises awareness.”
  • Include facts and sentences that show action.

An explanation of the issue you are addressing and how you will do it.

A description of your organization.

A budget. This may or may not be required. Refer to the foundation’s instructions.

  • Make the LOI concise, not wordy

Your LOI can make or break your relationship with a foundation because it will get you in the door, which is the most important step of all.

3 Website Tips Non-Profits Can Use to Increase Donor Contributions

Many non-profits struggle with marketing their organization effectively so that it leads to increased exposure and ultimately donor contributions. Simply having a website with pretty pictures and basic content is not enough these days. Visitors to your non-profit site expect more and rightly so. Here are three secrets to having a non-profit website that performs:

Secret Tip #1: Know your visitor

Although your website is about you, visitors are looking for what’s in it for them. Place content on your site that adds value or solves a problem for the visitor. People buy or donate to satisfy a personal psychological need (i.e. to feel better about themselves or to feel they are making a difference). The buying or donating solves the problem of satisfying that psychological need. That is why its critical to write copy on your website that speaks their language and addresses those needs. For instance, a headline such as “Please Donate To Help” is not as persuasive to a visitor as “Make A Difference and Change Lives In Your Community by Helping Now.” Remember, tailor your site’s content and writing so it will benefit the visitor and you are much more likely to persuade them to do what you want.

Secret Tip #2: Gather Visitor Contact Information

Collecting email addresses of your website’s visitors is a smart move. Twitter, LinkedIn and other social networks are awesome for communicating, but email is still the most effective means of communicating with an audience or informing them of your latest contributions campaign. Offering a free download of valuable content (i.e. free eBook) is the best way to encourage a visitor to share their email info. If you are not currently collecting emails from visitors start now. Your network that you build now will directly impact your future contributions.

Secret Tip #3: Engage Visitors With Video

Video embedded on your site’s homepage is proven to help your site’s search engine rankings. Another immediate benefit is that video engages your audience powerfully, and can reach them in a way mere words can not. Consider posting a video of yourself discussing key points about your organization or answering reader questions. Creating such interesting video content will help build your brand, engage your audience at a deeper level, and hopefully result in more contributions.

What is Strategic Planning

What is Strategic Planning?

Strategic Planning is the process of developing a vision for the organization’s future and determining the necessary priorities, procedures, and operations (strategies) to achieve that vision.  Included are measurable goals, which are realistic and attainable, but also challenging; emphasis is on long-term goals and strategies, rather than short-term (such as annual) objectives.  Strategic planning is ongoing.   It is  “the process of self-examination, the confrontation of difficult choices, and the establishment of priorities”.

Benefits of Strategic Planning

  1. It permits discussion of issues in a proactive rather than reactive mode. Usually developed in an atmosphere that encourages creativity and brainstorming, the strategic plan may not only include concrete directions, but also provide an institutional set of core values. In a typical board meeting, there is simply no time to engage in a meaningful discussion about the long- term future of an agency. Many nonprofits are operation on the edge of financial chaos, often one failed grant application away form having to lay off staff or fold entirely.
  2. It requires an action plan to solve real problems faced by an agency. The action plan is a template that the staff causes to implement the policies and desires of the board. Many CEOs complain that the board helps with solving problems, but fails to provide direction on the core values of the agency. A strategic plan explicitly includes those core values, and assists the CEO in creative strategies for solving current problems and anticipating future ones.
  3. It provides a formal mandate for the reallocation of resources to respond to changing conditions, and the means to obtain additional resources if required. A successful strategic planning process that develops an aggressive plan to attack problems often energies a moribund boards.
  4. It builds inter-board relationships that might not otherwise exist, and creates a partnership among the board chairperson, board members, staff, funders, and other stakeholders. Each has a role that is defined in the plan and, if bought into, the added responsibilities increase the available resources of the agency. The social contact that occurs at many board retreats, particularly those designed in bucolic settings away from the hustle and bustle of the agency, cement personal relationships among participants. This improves the bond between the agency and its leadership.
  5. It provides a mechanism for the board, staff, and agency stakeholders to become more informed about the activities and problems faced by the agency. It promotes in many, cases, a frank discussion by the agency executive of problems that might not be shared within the context of a conventional board meeting. Many CEOs welcome the process n that it takes a burden off their shoulders and shares it with the agency’s constituents.
  6. It provides  an opportunity to focus on the forest rather than the trees. It is easy for a CEO to become lost in the mundane issues of personnel, budgeting, office management, board relations, and public relations, and virtually ignore issues relating to the actual purpose and mission of the nonprofit.

Donor Acknowledgement Letter

Donors to your nonprofit should receive:

1)    a thank you letter and

2)    a receipt for their tax-deductible donation.

The IRS requires that a charity send an acknowledgement letter for any donation that is more than $250. The donor uses this letter as proof of his or her donation and right to a tax deduction. These letters should be sent immediately after the donation is received.

The minimum requirements of that acknowledgement letter are:

* Your organization’s name

* The amount of the cash contribution

* A description (but not value) of non-cash contribution (sometimes called gift-in-kind). The donor is responsible for estimating the value of non-cash contributions when they are reported to the IRS on a donor’s tax return

* A statement that no goods or services were provided by the organization, if applicable

* A description and good faith estimate of the value of goods or services, if any, that the organization provided in return for the contribution. An example of this is a benefit dinner where some of the money received pays for the actual dinner, while the rest is a donation

* A statement that goods or services, if any, that the organization provided in return for the contribution consisted entirely of intangible benefits if applicable. An example might be a small gift typically of a value under $65
